Going to ServiceTitan Pantheon? A Practical Checklist for Evaluating AI Booking

If you are headed to ServiceTitan Pantheon, you will hear plenty of promises about AI. The useful question is not whether a tool can hold a conversation. It is whether it can help your team turn inbound demand into accurately booked work without creating more cleanup for dispatch or the office.

Use this checklist when you evaluate AI booking, AI scheduling, and AI phone-answering tools.

This article is independent and is not affiliated with or endorsed by ServiceTitan or Pantheon.

1. Start with the business problem, not the feature list

Bring specific examples from your operation:

  • How many calls go unanswered, reach voicemail, or wait too long during peak periods?
  • What share of web leads become booked work?
  • Which requests create the most manual follow-up or re-entry for CSRs?
  • What happens after hours, on weekends, and during holidays?
  • Where do customers abandon the booking process?

If a vendor cannot map its product to a measurable bottleneck, the demo will stay generic.

2. Ask whether it can complete the booking workflow

A polished conversation is not the same as a completed job. Ask vendors to show the full path:

  1. A customer describes a real service problem.
  2. The system collects the correct contact and address information.
  3. It follows service area, job-type, business-hours, and urgency rules.
  4. It finds an appropriate appointment option.
  5. It creates the booking in ServiceTitan, with the information your team needs.
  6. It shows what happens when the job cannot be booked automatically.

Ask to see the result in the dispatch workflow, not only the customer-facing screen.

3. Pressure-test the edge cases

The demo should handle more than a standard repair request. Use examples like:

  • An emergency call after hours
  • A customer outside your service area
  • A caller who is already in your records
  • A request for an estimate instead of a repair
  • No appointment availability in the desired window
  • A customer with more than one issue
  • A situation that needs an immediate human transfer

The right answer may not always be an automated booking. It should always be a clear, correct next step.

4. Confirm who owns the configuration

Ask how the platform is configured and maintained. You should know where to manage:

  • Branches and service territories
  • Job types and intake questions
  • Scheduling windows, closures, and blockers
  • Emergency and after-hours behavior
  • Call transfer rules
  • Website, chat, text, and phone experiences
  • Reporting and quality review

You do not need every setting to be self-serve. You do need a clear ownership model and an operational process for changes.

5. Decide how you will measure success

Agree on the baseline before implementation. Useful measures include:

  • Answer rate and abandoned-call rate
  • Website visitor-to-booking conversion
  • Booked jobs and qualified leads by source
  • Time to first response
  • Booking completion rate by intake step
  • Number of manual callbacks or re-entered requests

Avoid treating “number of AI conversations” as the outcome. The outcome is more qualified, correctly scheduled work and fewer lost opportunities.

6. Compare the operational fit

The best AI booking tool for a small plumbing business may not be the same as the best fit for a multi-branch HVAC operation. Ask whether the workflow supports your specific mix of trades, service areas, call volumes, and ServiceTitan processes.

ScheduleBot is built for home-service companies that want an AI assistant to handle booking across forms, chat, text, and calls while working with the operational context behind ServiceTitan.
